You are handing over records about children, families and staff. These are the questions a board should ask before approving any supplier, answered plainly rather than in a brochure.
Oversite is built and run in New Zealand, for New Zealand early learning. The people who write it and the people who answer the phone are here.
Your data is held on established enterprise cloud infrastructure with the protections you would expect of it. We don't publish the specifics of where or how it runs. That detail helps nobody choosing a supplier and helps somebody probing one.

Your records are isolated from every other organisation using Oversite. That isolation is structural rather than a setting, and it is not something a mistake in configuration can undo.
That costs more to run. We think it is the right call for records about children.
Access is granular. Someone who needs to check ratios does not thereby get payroll, health records or bank details. The sensitive areas are controlled separately, and you decide who holds them.
Changes to records are logged with who made them and when, so a question about a figure has an answer rather than a theory.
Your data is backed up automatically and the backups are held securely. The Funding Handbook requires you to keep attendance and funding records for seven years, and that retention is part of the price rather than an extra tier.
Deleting something generally removes it from view without destroying the audit trail behind it, so an accidental deletion is recoverable rather than final.
You can export your data at any time, and we will help you do it. There is no exit fee and no hostage-taking of your own records.
This is deliberate. A supplier who makes leaving difficult is telling you something about how confident they are that you'd want to stay.
Support access to a customer's data is limited to what is needed to answer the question in front of us, and it is logged. We do not browse customer records, and we do not use your data to train anything.
If you need something specific written into an agreement, such as a data processing addendum or a particular retention or deletion commitment, ask and we will talk about it rather than pointing at a policy page.
