Oversite is used to hold records about children, families and staff. This explains what we collect, why, and what we do with it, both on this website and in the product itself.

It matters which one applies to you.
If you book a demo we ask for your name, organisation, email address, phone number, how many sites you run and what you currently use. We use it to respond to your enquiry and to keep track of the conversation. We do not sell it, and we do not pass it to anyone for their own marketing.
We keep basic technical logs, the kind any web server keeps, to run the site securely.
On behalf of the organisation using it, Oversite may hold information about children (including health, dietary and immunisation details), their guardians, and staff (including employment, certification and payroll details).
We access it only where needed to provide or support the service, and that access is logged. We do not use customer data to train anything, and we do not share it with other customers.
Data is held on established enterprise cloud infrastructure. Your organisation's records are kept separate from those of every other organisation using Oversite, and backups are held securely and retained in line with the record-keeping periods the Ministry of Education's Funding Handbook requires.
Some of that infrastructure is located outside New Zealand, which makes this a cross-border disclosure under the Privacy Act 2020. It is held in a jurisdiction with comparable privacy safeguards, under our instructions, and is not used for any other purpose. If you need the specifics for a procurement process, ask and we will provide them.
Under the Privacy Act 2020 you can ask to see the personal information held about you and ask for it to be corrected.
